How to make a small copy update

Use the rich text editor (RTE) to edit areas of text. The CMS is set out the same as your live page, so content at the top of the webpage will appear first in the CMS entry and will follow logically down. The RTE has all the formatting options you might need including bullet points, numbered lists and a stylised blockquote. There is an option to add heading styling, but please note that we avoid using bolded, italicised or underlined text.

How to make basic changes to a component or assembly

You will see from looking at different pages that lots of our content is created using different components and assemblies, which are essentially building blocks of your page design. To change your content that sits within these blocks, you will need to open them by clicking on them and then edit the fields you want to change.

Once you have made your changes, you can return to the page you are editing by clicking the back arrow in the top left corner of any component or assembly you have opened.

The best links are descriptive, meaning the text you link should say exactly what the link is for instead of using phrases like ‘click here’.
A bad example would be linking the phrase ‘Read more’
A good example would be ‘Download the Annual Report’.

There are two ways to link to other webpages in Contentful:

It’s important to use this method to link to any other content on the Shelter website as if for any reason the end page is removed, the link will also be removed automatically and won’t cause broken links that are bad for Shelter’s SEO.

Highlight your text > click the hyperlink icon > Click the Link type dropdown > choose Entry

Choose Select Entry in the Link target field > Search for the page you want to link to using its title > Select it > Click Insert

Highlight your text > Click the hyperlink icon > Paste your link into the Link target field > Click Insert

Please note that you will need to use the external link (URL) component to link from Shelter England to Shelter Scotland and vice versa.

All you need to do to change a link is hover over it and click it in the RTE. This will launch the component and allow you to replace the current external URL or internal page. Use one of the two methods above to do this.

Select the hyperlink and open the editor in the same way as above. Click Remove selection.

How to add or change an existing PDF

To change a PDF that is hyperlinked in your copy, hover over the existing link in the RTE and click it. This will open a new window where you will need to remove your current PDF from the Link target field. Once this is empty, you can click Select asset to add a different PDF that’s already been added to the system, or use the steps below to add a new PDF.

To add a new PDF into the system, you must first upload it to the media library.

To do this, open the Media Library in https://app.contentful.com/spaces/6sxvmndnpn0s/environments/master/views/assets > Click Add asset and choose Single asset > Give it a title and description > Upload the file.

Now go back to your page entry and select the text you want to link your PDF > Click the hyperlink icon in the RTE toolbar.

Set the Link type to Asset and then click Select asset > search for your PDF in the asset library (although if you’ve just uploaded it, it will be at the top of the list anyway) and select it > Select it and click Insert.

There are some exceptions to this process and if the existing document sits in a download component or anything more complex than a blue underlined hyperlink, you will need to edit an additional component to change the PDF link.

How to change or add an image

We have a separate page with lots of information about how Contentful handles images and other assets.

To remove an image

All you need to do is click to select the image embedded in copy and backspace - this will remove the image.

To edit an image

Generally speaking, you need to be careful not to edit existing image entries unless you are sure they aren’t being referenced in other content.

You can crop images to make them smaller in Contentful by clicking the image and using the crop functionality on the image entry that subsequently opens, but Contentful is very good a resizing image files, so only do this once you’ve seen in preview that the crop of your image isn’t working.

You should not delete/remove an image file from it’s entry and replace it with a different image, title and description - instead just add a new image. If you do remove or replace the image file within its entry, you will delete it from the system entirely.

Adding new or different images into your copy

It’s best practice to upload, name and describe your images before you build the content that will use them.

Use Add existing asset to search the Media Library in https://app.contentful.com/spaces/6sxvmndnpn0s/environments/master/views/assets first, as a suitable image may already exist. This helps keep the system from being cluttered with duplication.

If you can’t find what you need, go ahead and use Create new asset to upload an image. Remember to give it a clear name (to replace the autogenerated file name) and a meaningful description, as this will become your image’s alt text.

Once your image is uploaded, return to your page entry and click wherever you want the image to sit.

Now click Embed > Change the Link type to Asset > Find your image and select it by clicking on it > Click Insert.
